The International Association of Conference Centers (IACC) has just released a second installment of Meeting Rooms of the Future. The report highlights changing meeting styles and demands of today’s attendees. Are you incorporating some of these ideas at your events?

1

Networking Areas:

Today’s attendees want spaces to network beyond the lobby or pre-function space. Today’s venues need to have a variety of flexible moveable furniture to create areas to collaborate, network and interact. In the next 3 -5 years, look for venues to provide alternatives with multiple flexible layouts like “fireside chat” seating, chalk paint walls, communal tables and chairs and more lounge-style rooms. Easy access to outdoor space is also important for planners.

2

Bandwidth:

High quality bandwidth and Internet infrastructure is critical for meeting venues and planners say venues generally don’t offer enough. More venues are purchasing their technology outright as opposed to lease agreements.

3

Collaborative Tech:

As tools such as apps, beacon technology and video conferencing technology gain traction, collaborative technology platforms and the IT staff to provide them are at a crossroads. Meeting planners say conference apps, social media campaigns and audience participation apps were the top three technologies implemented at meetings in the past five years.

4

F & B:

Continuous, healthy and locally sourced refreshment breaks are the preferred option for food & beverage stations. More finger foods that allow attendees to freely move and mingle are favoured over static seating arrangements. The importance of sustainability, wellness snacks and themed specialty menu items were important to the delegate experience.

MEETINGS + EVENTS

2017 Meetings Forecast
The fifth annual CWT Meetings & Events Forecast suggests room rates are likely to remain stable for next year, with the impact of mega-mergers not expected until 2018. The report predicts that meeting technology providers will be the next industry area ripe for consolidation. In addition, food & beverage prices are increasing globally, despite concerns from planners that food chews up a disproportionately large part of an event budget. Small plate tapas-style menus help to mitigate steep prices.

CORPORATE TRAVEL MANAGEMENT

Today’s Business Traveller
The 20 - 30 age group is redefining corporate travel, according to the latest research from ACTE Global and American Express Business Travel. The use of app-based ground transportation has doubled in the last three years. This demographic is more open to the shared economy for accommodation and more interested in work-life balance. They incorporate bleisure travel on business trips and bring family with them when they travel. A large majority of travel managers (76 per cent) have, or will introduce company apps for travellers to access real-time information while they travel. CTMs are also incorporating mobile booking and expense management apps for staff. More than half of CTMs (54 per cent) have tightened security policies to allay traveller’s fears of personal safety while travelling.

INCENTIVES + REWARDS

Four Seasons R & D
The Four Seasons experience the world over is synonymous with luxury, but they do have a method to discover the perfect touches for guests. The new Four Seasons Research and Discovery Studio is a workshop based at their headquarters in Toronto, and drives decisions from sheet thread counts to glassware and cutlery. The space includes a bed, a fully functional bar, a tabletop staging area and cardboard representations of a variety of guestrooms. The research studio helps to recognize how guest behaviours evolve and how the hotel elements work together to adapt to those changes.
